Music & Performing Arts Terms and Conditions
Effective from September 2026
These Terms and Conditions apply to music tuition, performing arts classes and memberships provided by Bromley Conservatoire, trading as Bromley Conservatoire.
By enrolling, accepting a place, making payment or continuing to attend, you agree to these Terms and Conditions.
Where the student is under 18, the parent or guardian making the booking is responsible for the membership and all payments due.
1. Memberships
1.1 Regular tuition
Regular music tuition and performing arts classes are provided through a monthly membership unless otherwise agreed.
1.2 Teaching year
Our standard teaching year consists of 38 teaching weeks.
Membership fees cover the overall annual programme and are divided into 11 monthly payments from September to July.
There is no membership payment in August.
1.3 Monthly payments
The monthly membership fee is not calculated according to the number of lessons falling within an individual calendar month.
Some months may contain more teaching weeks than others, but the monthly payment remains the same.
1.4 Term dates
Lessons and classes take place according to Bromley Conservatoire's published teaching calendar.
Regular lessons do not normally take place during Conservatoire holidays.
2. Joining Bromley Conservatoire
2.1 Trial lesson or class
New students will normally begin by booking and paying for a trial lesson or trial class.
The trial is charged separately from membership.
A trial lesson or class does not guarantee the availability of a permanent place, teacher, class or lesson time until this has been confirmed by Bromley Conservatoire.
2.2 Joining after a trial
If the student wishes to continue and a suitable place is available, a membership will be set up following the trial.
For music tuition, this will normally reserve the student's regular weekly lesson slot.
For performing arts, this will reserve the student's place in the relevant regular class.
2.3 First membership payment
Where a student joins part-way through a month, the first membership payment will normally be pro-rated to cover the remaining scheduled lessons or classes in that month.
2.4 Joining close to the next month
Where the student's next scheduled lesson or class falls at or near the beginning of the following month, we may begin the membership from that month instead of taking a pro-rated payment for the current month.
2.5 Ongoing payments
After any initial pro-rated payment, the normal membership fee will be collected automatically on or around the 1st of each month.
The membership will then continue until cancelled in accordance with these Terms and Conditions.
3. Fees and Payment
3.1 Membership fee
The applicable membership fee will be confirmed when the student enrols or changes programme.
3.2 Payment date
Following any initial pro-rated payment, membership payments are collected automatically on or around the 1st of each month.
A different payment date may apply where an alternative arrangement has been agreed.
3.3 Payment method
Payments will normally be collected using the payment method registered to your account.
Alternative payment arrangements may be agreed at our discretion.
3.4 Failed or overdue payments
You are responsible for ensuring payments are made when due.
If payment remains outstanding, we may suspend tuition or terminate the student's place.
Any outstanding fees remain payable.
3.5 Changes to fees
Membership fees may change from time to time.
We will provide reasonable notice before a price change affecting an existing member takes effect.
4. Music Lessons
4.1 Regular lesson slot
Music students will normally be allocated a regular weekly lesson time.
We will make reasonable efforts to maintain this slot, but lesson times may occasionally need to change.
4.2 Lesson duration
Lesson duration will be determined by the student's membership or other arrangement agreed with us.
4.3 Teachers
We aim to provide continuity of teacher wherever possible.
However, the student's membership is with Bromley Conservatoire rather than with an individual teacher.
We may therefore provide a substitute teacher or change the student's regular teacher where reasonably necessary.
A change of teacher does not automatically entitle the student to a refund or immediate cancellation.
5. Performing Arts Classes
Students will normally attend a regular weekly class appropriate to their programme and age group.
We may change class teachers or provide substitute teachers where necessary.
We may also recommend a change of class where another group is more appropriate for the student's age, ability or progression.
6. Student Absence
6.1 Reserved place
For one-to-one tuition, the student's regular teaching slot is reserved specifically for them.
For group classes, the student's place within the class is reserved for them.
The membership fee therefore remains payable if the student is unable to attend.
6.2 Missed lessons
A student absence does not automatically entitle the student to a refund, credit or replacement lesson.
6.3 Rescheduling music lessons
Where reasonable notice is provided, we will try to reschedule a one-to-one music lesson subject to teacher, room and timetable availability.
The more notice we receive, the greater the likelihood that an alternative can be arranged.
Rescheduling is offered as a flexibility and cannot be guaranteed.
A lesson is only considered rescheduled once an alternative time has been confirmed by the Conservatoire.
6.4 Group classes
Group classes cannot be rescheduled for an individual student who is absent.
6.5 Exceptional circumstances
We may offer a credit or alternative arrangement in exceptional circumstances at our discretion.
Doing so on one occasion does not create an entitlement to the same arrangement in future.
7. Cancellation by Bromley Conservatoire
7.1 Teacher absence
If a teacher is unavailable, we may:
- provide a substitute teacher;
- reschedule the lesson;
- arrange an alternative lesson; or
- provide a credit where no reasonable alternative can be offered.
7.2 Cancelled lessons
If we cancel a lesson or class and cannot provide a substitute, rescheduled session or appropriate alternative, we will provide an appropriate credit or adjustment.
8. Late Arrival
Students should arrive in sufficient time to begin their lesson or class at the scheduled time.
Where a student arrives late, the lesson or class will normally still finish at its original scheduled finishing time.
No refund, credit or additional teaching time will normally be provided for time lost because of a student's late arrival.
9. Examinations and Additional Charges
9.1 Examination fees
External examination fees are not included within the standard membership fee unless expressly stated otherwise.
9.2 Examination administration
Where Bromley Conservatoire arranges an examination entry, an additional examination administration charge may apply.
9.3 Accompanists
Where an accompanist is required for an examination, performance or other activity, accompanist fees will normally be charged separately.
9.4 Other additional costs
Optional activities, workshops, trips, performances, books, equipment or other additional services may carry a separate charge.
Where an additional charge applies, we will inform you before committing you to it.
9.5 Examination entry
Examination entry is subject to teacher recommendation and the student's level of preparation.
We cannot guarantee any particular examination result.
10. Changing Lessons or Membership
10.1 Changing lesson time
Requests to change lesson time will be accommodated where possible but are subject to availability.
10.2 Changing lesson duration or programme
Changes to lesson duration, membership level or programme are subject to availability and agreement with the Conservatoire.
Where the change affects the membership fee, we will confirm the revised amount.
10.3 Pausing membership
Memberships cannot normally be paused because a student is temporarily unavailable.
We may agree to a pause in exceptional circumstances at our discretion.
If a membership is cancelled and the student later wishes to return, we cannot guarantee the same teacher, class or lesson time will still be available.
11. Cancelling Membership
11.1 Notice period
Memberships continue until cancelled.
To cancel a membership, you must give one full calendar month's written notice.
The month in which notice is given does not count as the notice month.
The following full calendar month is the notice period.
For example:
- notice received during September means October is the final paid month and membership ends on 31 October;
- notice received during October means November is the final paid month and membership ends on 30 November.
11.2 Written notice
Cancellation notice must be provided to Bromley Conservatoire in writing, for example by email or through the client system.
Telling a teacher verbally does not constitute formal notice.
11.3 Fees during notice
The normal membership payment remains due for the full notice month.
The student may continue attending all scheduled lessons or classes during the notice period.
Choosing not to attend does not remove or reduce the payment due.
11.4 End of membership
Membership ends at the end of the final paid month.
No further regular membership payments will then be due.
11.5 Exceptional circumstances
We may agree to shorten or waive the notice period in exceptional circumstances at our discretion.
11.6 Statutory rights
Nothing in these Terms and Conditions affects any cancellation or consumer rights you may have under applicable law.
12. Ending a Student's Place
We may suspend or terminate a student's membership where there is a reasonable basis to do so, including:
- persistent non-payment;
- serious or repeated disruptive behaviour;
- abusive or threatening behaviour towards staff or teachers;
- deliberate damage to property; or
- serious breach of these Terms and Conditions.
Where appropriate, reasonable notice will be provided.
In serious cases, immediate suspension or termination may be necessary.
Any fees already due remain payable.
13. Changes to Services
We may make reasonable changes to:
- teachers;
- lesson rooms;
- class locations;
- timetables;
- programme content;
- concerts or showcases;
- examination arrangements; and
- membership benefits.
Where a change materially affects the core service being provided, we will give reasonable notice and seek to provide an appropriate alternative where possible.
14. Changes to These Terms
We may update these Terms and Conditions from time to time.
Where a change materially affects an existing member, we will provide reasonable notice before it takes effect.
