What this policy covers

This is the privacy policy for the Bromley Conservatoire website. It explains what personal information we collect when you browse the site, make an enquiry or use a form, how we use it, and the rights you have.

It does not replace the data protection arrangements that apply once a student is a member. Those are set out when a place is offered, and in our data protection policy where we have published one.

What we collect

If you send an enquiry, request a call back or use the programme finder, we collect the details you give us. That typically includes your name, email address, telephone number and postcode, how you prefer to be contacted, and information about the student such as age, instrument or programme, experience and availability.

We also receive the page you came from and the notes you type into the form, so we can reply in context.

If you book a course or event through a booking or ticketing provider linked from this site, that provider collects the information needed for the booking. Their privacy notice applies to that booking.

Our servers and security tools may record technical information such as your IP address, browser type and the pages you visit, so we can keep the site working and reduce spam.

How we use it

We use enquiry information to respond to you, recommend a programme, match a teacher or class where that is helpful, and take the next step towards membership if you want it.

We use technical information to operate and protect the website, including checking that a form was submitted by a person.

We do not sell your details, and we do not use them to send marketing emails unless you have asked us to.

The legal bases we rely on are taking steps at your request before a contract, our legitimate interests in running the conservatoire and keeping the website secure, and any legal obligation that applies (for example if a message raises a safeguarding concern).

Who we share it with

Enquiries are handled by the conservatoire team. We pass them to the administration system we use to look after families and teachers, so we can follow up.

The website is hosted and the enquiry record is stored using Google Firebase. Forms use Google reCAPTCHA to reduce automated abuse.

If you continue to a booking or ticket page, the provider of that page (for example Bookwhen or TicketTailor) processes the booking. If you follow a link to a reviews site, that site’s own notice applies.

We may share information if the law requires it, or if we need to protect a child or another person.

Cookies

We use cookies and similar tools that are needed for the site to work. That includes a security check on enquiry forms (reCAPTCHA) and, for staff, a sign-in cookie for the content management system.

We do not use advertising cookies, and we do not run a third-party analytics pixel on this site.

You can block cookies in your browser. Some forms may then fail the security check.

How long we keep it

We keep an enquiry for as long as we need it to reply and, if you become a member, as part of the student record. If you do not join, we do not keep the enquiry longer than we need for administration and any legal duty.

Technical logs are kept only for a short period, unless we need them to investigate a security issue.

Your rights

You can ask us for a copy of the personal information we hold about you, ask us to correct it, delete it, or restrict how we use it, and object to processing that is based on legitimate interests. You can also complain to the Information Commissioner’s Office at ico.org.uk.
